Position : Sr. Admin Co-Ordinator
Location : Unit I - Chennai, India

Position Summary & Key Areas of Responsibility
Position responsible for ensuring the Entire Plant Admin and Facility Management and People Management from the respective Supplier’s
Headcount Management
Co-ordinate with House Keeping vendor/Supervisor to monitor the Work Assigning & Tracking of the Janitors and review the Check Sheet updates with all the assigned locations. Planning and allocating the deep cleaning activities wherever required.
Janitors/Supervisors Attendance tracking and Salary Input file validation and submit for Managers approval.
Review and Monitoring the Cleaning equipment check list on daily/Weekly basis. Daily Review meeting with the Supervisors.
Position is responsible to manage and monitor the CCTV camera’s for Unit I Premises and has to ensure the Backup’s are in place as per the agreed duration. Monitoring the CCTV functioning & endure the AMC/PR/PO in place.
Position has to ensure all the access doors are in working condition and the Maintenance schedules are in place & AMC to be monitored.
Vendor Invoice Validation and Submitting for Approval to process the Supplier Payments.
Co-Ordinate with Canteen vendor and Placing the Daily Food Quantity Order, following up for On Time Delivery, Ensuring the Quality check of the Food and complete accountability for end to end process with the Canteen vendor.
Monitor the Security personnel daily and shift wise deployment with the respective posts and get an update from the Security Officer about the complete factory premises updates/observations to have a 100% watch and wards are in place for the entire factory. Monitor and ensure 100% CTPAT compliance by the G4S team.
Co-Ordinate with Scrap Vendor and ensure all the Waste Materials are moved out from the factory premises as per the laid down process and ensure periodical audits on weighment and other applicable compliances.
Co-Ordinate with Tea Vendor and ensure the On-Time supply of tea and check the Quantity’s on daily basis and the hygienic of the tea preparation will be audited with frequent intervals.
Co-Ordinate with Transport Provider and ensure all the buses are reached at Factory as per the scheduled timings from all locations and ensure all the compliance documents such as RC, Permit, Insurance, Vehicle preventive maintenance, Driver License and other applicable compliances are in place.
Prepare and circulate all the admin related daily/weekly/fortnight/monthly reports within the stipulated time.
Track/Maintain and circulate all Admin vendor score card with the assigned/agreed metrics on weekly basis and all the red category metrics to be reviewed and corrective action to be obtained from the concerned Suppliers to mitigate the repetitions.
Track all the vendor agreements and need to initiate the process for the vendors where the agreements got expired and the renewal process to be initiated before the expiry of the agreements.
To Identify areas of improvement, understands issues, takes corrective action or escalates appropriately.
