Job Description
Action for Social Advancement (ASA) is a national level NGO head quartered at Bhopal working for the livelihoods improvement of rural poor in over 1700 villages in Madhya Pradesh, Chhattisgarh, Jharkhand and Bihar since 1996. It works for ensuring livelihoods of poor small farmers, mainly tribal and women, involving activities of participatory natural resources development, Agriculture productivity enhancement and Agribusiness development for small holder farmers. 1 Posting vacancies in various job portals, placement agencies, newspapers, etc.
2 Collaborate with the recruiter to post job and on career pages and process incoming resumes, prepare matrix of CVs received, prepare schedule of interviews, etc.

3. Manage database of Vs

4 Interview calls and conduct of interview and its logistics arrangements

5. Compliance under labour laws, PF, ESI, Gratuity, etc.
Maintenance of staff gratuity, provident fund, insurance leave encashment and other allowances as per HR Policy

6 Coordinate HR/Proramme meetings, training, seminars with PD Training & HR
7 Prepare reports and presentations for internal communications - Quarterly review meeting, etc.

B Admin functions
Coordination with various vendors for office requirements and purchase/payment process as per HR/Finance manual
Ensuring proper functioning of the Head Office & Team Office/AO/RO
Annual Maintenance of Contracts
AMCs of different services providers - Computers, Fax Photocopier, printer, water purifiers, fire extinguisher, cleaning Contract.
Initiate purchase process of office equipment, stationary, printing, etc.

Office Maintenance & Cleanliness:-
Managing cleaning staff
Making rosters (daily work schedule) office support
Supervise cleanliness of office premises
Periodic cleaning of curtains, chair covers, sofa covers
Maintaining the support staff movement
Organizing notice boards (timely clearance of papers on notice board and putting up circulars, notices, etc.)
Arrangements for meeting and conference
Managing advance for office, pantry, petty expenses
Management of Guest House
Maintenance of Guest House register
Supervising the maintenance and cleaning needs of the GH.
Guest House Bookings
Following the guest house norms as per rules outlined
Garden maintenance - GH / HO
Managing Office Vehicles
Prepare and maintenance of Expenditure and Income account of vehicles
Immediately reporting of any major breakdown in vehicle and arrangement of its service.
Vehicle management/maintenance, appraisal of vehicle average, and checking of logbooks, regular servicing of vehicle, washing vehicles as per schedule, washing vehicle covers at regular intervals.
Vehicle requirement plan to be taken from staff & get it approval (format available)
Inform the drivers about the travel plan and paste it on the notice board.

Salary: INR 2,50,000 - 3,00,000 PA.
